Morris County Collaborative Office Manager

Minimum Salary: $20.00/hour

The Office manager is responsible for overseeing the daily operations of the office and providing general administrative support to the board to enhance productivity to assure the success of the Collaborative. The duties and responsibilities include scheduling meetings and appointments, monitoring, and ordering office supplies, greeting visitors and assisting with all projects and activities of the Collaborative. Must possess the ability to work collaboratively in a team environment and demonstrate the ability to work and communicate effectively with persons of a diverse ethnic, economic, and cultural back.ground. Must be proficient in computer skills (including Microsoft Office, Internet, and email). Skills or experience interacting with the public at a front desk which may include reception duties, customer service, and appointment scheduling would be an advantage.

Description of Job Duties: 

  • Open and close facility in a timely manner. (8:30- 2:30 pm Tuesday, Wednesday & Thursday) 
  • Answering telephone calls and emails from customers and clients and directing them to relevant staff 
  • Oversee building maintenance, mailing, supplies, equipment, bills, and run errands, as needed. 
  • Schedule meetings and appointments with agencies and community members, as needed. 
  • Maintain the office condition and arrange necessary repairs. 
  • Work with Executive Committee to update and maintain office policies, as necessary. 
  • Adhere to office operations and procedures. 
  • Coordinate with IT department on all office equipment 
  • Ensure that all items are invoiced and paid on time. 
  • Work with vendors, service providers and office leases, if applicable 
  • Provide general support to visitors to the center. 
  • Assist in the onboarding process and orientation for new hires, student interns, and volunteers. 
  • Coordinate travel arrangements, as needed. 
  • Assist the committee chairs with planning in-house or off-site activities, meetings, celebrations, and conferences to assure success of the program. 
  • Obtain agenda items five (5) days before all Board and executive meetings, Committee reports, Minutes, and Announcements. 
  • Complete Board Packet and send it to all Board members. Complete Executive Committee Agenda and attachments and send to all Executive Committee members. 
  • Other duties as assigned. 

Experience and Other Qualifications Required:

  • Previous experience as a Front Office Manager or Office Administrator would be an advantage. 
  • Knowledge of Office Administrator responsibilities, systems, and procedures • Proficiency in MS Office (MS Excel and MS Outlook, in particular) 
  • Hands on experience with office machines (e.g., fax machines and printers) 
  • Excellent time management skills and ability to multi-task and prioritiz.e work. 
  • Attention to detail and problem-solving skills. • Excellent wr itten and verbal communication skills, and teambuilding 
  • Strong organizational and planning skills in a fast-paced environment 
  • A creative mind with an ability to suggest improvements. 
  • Friendly and outgoing 
  • Assist in teambuilding effort to ensure that the board goals & objectives are met 
  • High School degree required; 
  • Associate or Bachelor's degree preferred, additional qualification as an Administrative Assistant or Secretary, and bilingual will be a plus.
